Our client, a well established accounting and advisory firm, is seeking an experienced Administrator / Client Services Coordinator to join their Melbourne office.

You will join a busy accounting team, providing administrative support to ensure day to day operations run smoothly, while working closely with accountants and senior staff in a collaborative professional services environment.


This role suits someone with 2+ years’ experience in an administrative role within an accounting firm, who brings strong communication skills, professionalism, and a client focused approach.


Key Responsibilities

  • Manage client services and practice administration tasks, including document preparation, record keeping, payment processing, and general office support
  • Handle ATO correspondence and assist with lodgements, including updating client details, managing payment plans, and preparing GIC remission requests and related changes
  • Support IAS/BAS lodgements and broader taxation compliance obligations, ensuring accuracy and timely submission
  • Support ASIC compliance requirements, including preparation and maintenance of company lodgements, statutory records, and client registers
  • Coordinate client communications and front office operations, including meeting and greeting clients, answering calls, and managing enquiries
  • Maintain and update client databases, compliance documentation, scheduling, and workflow tracking to support efficient client service delivery

About you

  • Previous experience in a Receptionist, Administrator, or Client Services role within professional services, ideally in an accounting environment.
  • Experience with Xero, FYI Docs, Fusedocs, Fusign, ATOmate, XPM is highly regarded
  • Immaculate presentation and professional communication style
  • Strong client service focus
  • Excellent organisational and time management skills
  • Ability to prioritise and work under pressure
  • Strong Microsoft Office skills (Word, PowerPoint, Excel, Outlook)
  • Exceptional interpersonal skills and ability to liaise with a wide range of stakeholders
  • Proactive, reliable and punctual
  • Willingness to learn and take initiative
